KipBox is a subscription software service for retail and small businesses. It lets you record sales at a point of sale, track stock across one or more locations, issue invoices and receipts carrying your own brand, record customers, suppliers, purchases and expenses, give staff limited access, and view reports on your trading.
We may add, change or remove features as the product develops. We will not remove a core feature you depend on without reasonable notice.
New accounts start with a 7-day free trial. No card is required to begin. At the end of the trial, you must choose and pay for a plan to keep using KipBox. If you do not, access to the service will be limited until a plan is active; your data is not deleted at that point (see clause 11).
You may cancel at any time. Cancellation stops the next renewal; your plan continues to the end of the period you have already paid for. Fees already paid are not refundable for part of a period, except where the law requires otherwise or where we have failed to provide the service for a sustained period.
All the records you put into KipBox — your products, sales, customers, suppliers and reports — remain yours. We claim no ownership over them.
You grant us a limited licence to store, process, transmit and back up that data purely so we can run the service for you, provide support and keep it secure. We do not use it for any other purpose. How we handle it is set out in our Privacy Policy and Data Protection statement.
When you record details about your customers or staff, you are the data controller for that information and we act as your processor. You are responsible for:

We work to keep KipBox available and fast, but we do not guarantee uninterrupted access. Availability may be affected by maintenance, upgrades, or failures at our hosting, network or payment providers. Where planned maintenance will cause downtime, we will give notice where we reasonably can.

Reports, profit figures, stock valuations and tax-related totals produced by KipBox depend entirely on what is entered into it. They are for your own management use and do not constitute accounting, tax, financial or legal advice. You are responsible for checking any figure before relying on it for a filing, a return or a decision, and for meeting your own tax and regulatory obligations.
You may close your account at any time by contacting us.
We may suspend or terminate your account if you seriously or repeatedly breach these terms, if your subscription remains unpaid, or if we are required to by law. Except where the breach is serious or unlawful, we will warn you and give you a chance to put it right first.
After termination we will keep your data available for a reasonable period so you can retrieve it, then delete or anonymise it in line with our Privacy Policy. Please export anything you need before you close your account.
KipBox, its software, design, name and logo belong to us. These terms give you a limited, non-exclusive, non-transferable right to use the service while your subscription is active — nothing more. Your own business name, logo and content remain yours.
KipBox relies on third parties for payments, hosting and email delivery. We choose them with care, but we are not responsible for their acts or omissions beyond what our contracts with them allow us to recover. Their own terms may apply to you when you use them — for example when you enter card details on a payment provider's page.
We may update these terms. We will post the new version here and update the date at the top. For material changes, we will give at least 7 days' notice by email or in the app. Continuing to use KipBox after a change takes effect means you accept it. If you do not accept it, you may cancel before it takes effect.
